Example: a design job with service tax

A design studio registered for SST bills 3 hours of logo design at RM150 (service tax 8%) and 2 boxes of flyers at RM45.50 (no tax), plus RM20 delivery. Subtotal RM541.00, service tax 8% on RM450 = RM36.00, total RM597.00: "Ringgit Malaysia Five hundred and ninety-seven only". The generator works this out per line, so mixed taxed and untaxed items are handled correctly.

What a Malaysian invoice should show

  • Every invoice: a unique serial number, the date, your business name and address, the customer, a description, quantity and price of each item, and the total.
  • SST-registered businesses (Service Tax Regulations 2018, regulation 10): your SST registration number, any discount, the amount excluding tax, the tax rate and tax amount shown separately, and the total including tax. Foreign-currency amounts must also be shown in ringgit.
  • Sales tax (goods): the buyer's name and address, and the type, quantity and amount of each item (Sales Tax Regulations 2018, regulation 7).
  • Language: Bahasa Melayu or English; this generator does both, including the amount in words.

Bank Negara Malaysia's rounding mechanism (since 1 April 2008) rounds the total bill, never each item, for payments made at the counter. Published guidance differs on whether card payments are included, so tick the box only if you round totals at your counter; leave it off for bank transfers.

How the totals are worked out

  1. Each line: quantity × unit price, less the line discount, in whole sen so nothing drifts.
  2. Whole-bill discount: spread across the lines in proportion before tax, so the tax is charged on what the customer really pays.
  3. Tax: each line's rate (service tax 8% or 6%, sales tax 10% or 5%) is applied and rounded to the sen; totals are shown per rate.
  4. Total: subtotal − discount + tax + delivery, optionally rounded to the nearest 5 sen, then less any deposit to give the balance due.

Invoice or e-invoice?

An invoice made here is a normal invoice (PDF or paper). An LHDN e-invoice is different: it is submitted to the MyInvois system and validated with a unique ID and QR code. Since 1 September 2026, businesses with annual turnover below RM3 million are exempt from e-invoicing, unless a corporate shareholder, holding company, related company or joint venture has turnover of RM3 million or more. Exempt businesses keep issuing normal invoices like these. Check your own start date with the e-Invoice Checker.

Tips for getting paid faster

  • Clear terms: state the due date (14 or 30 days) and your bank account or DuitNow details in the notes.
  • One number per document: use New document to move to the next number; never reuse a number.
  • Quotation first: send a quotation, then switch the same details to Invoice once the customer agrees.
  • Deposit: enter what the customer has already paid and the invoice shows the balance due.

Frequently asked questions

How do I make an invoice for free?

Enter your business details, your customer and each item with its quantity and price, and the invoice appears beside the form as you type. Choose Invoice, Quotation or Receipt, then press Save PDF / print to download a PDF or Copy for WhatsApp to send a summary. There is no sign-up and no watermark.

What must an invoice show in Malaysia?

If you are registered for SST, the invoice must show its serial number and date, your name, address and SST registration number, a description of the goods or services, any discount, the amount excluding tax, the tax rate and tax amount separately, and the total including tax (Service Tax Regulations 2018, regulation 10). It may be in Bahasa Melayu or English.

Can I add SST if I am not registered?

No. Only businesses registered with the Royal Malaysian Customs Department may charge service tax or sales tax and show an SST number. If you are not registered, set every line to No tax. Registration is generally required once taxable sales pass RM500,000 in 12 months (RM1.5 million for food and beverage).

Which SST rate should I choose?

Service tax is 8% for most services and 6% for food and beverage, telecommunications, parking, logistics, construction, private healthcare, private education and, from 1 January 2026, rental and leasing. Sales tax on goods is 10% or 5% depending on the goods. Each line can have its own rate.

Is this invoice an LHDN e-invoice?

No. A PDF or printed invoice is not an e-invoice; an e-invoice must be submitted to LHDN through MyInvois and validated with a unique ID and QR code. Since 1 September 2026, businesses with annual turnover below RM3 million are exempt unless a corporate shareholder, holding company, related company or joint venture has RM3 million or more, so most small businesses can keep using normal invoices.

How do I write the amount in words?

The generator writes it for you in the document language, for example RM597.00 becomes 'Ringgit Malaysia Five hundred and ninety-seven only' in English or 'Ringgit Malaysia Lima ratus sembilan puluh tujuh sahaja' in Malay. When a deposit is entered it spells out the balance due.

Where are my details saved?

Only in this browser on this device, so your business details and the last document are ready next time. Nothing is uploaded to our server. Use Clear all to delete them, and New document to keep your business details but move to the next invoice number.
